Overview
The Executive Assistant to Corwin's Senior Vice President is a dynamic role established to offer support for the Senior Vice President as well as support for the Publishing and Professional Learning department, its managers and staff, and related activities. This role offers a range of administrative and business responsibilities, with opportunities to interact with the Senior Management Group, the Corwin organization, the Publishing and Professional Learning team, and authors, Corwin association or business partners, and other external customers and clients. As such, the ideal candidate must have wide-ranging administrative experience and demonstrated ability to multi-task, prioritize, communicate effectively,and maintain professional relationships.
The scope of this position is to:
Provide support for the Corwin Senior Vice President and Managing Director, Corwin, U.S., including general administration, project coordination, research, data and reporting, author and partner relationship facilitation, editorial assistance, calendar and travel plans, meeting planning, and general accounting and budget maintenance.
Serve as the administrative arm of the Publishing and Professional Learning department, supporting key staff and processes.
Perform special projects related to the Publishing and Professional Learning team's various business lines and activities as directed.
Facilitate various communications at the department, organizational, and intracompany level.
Work with moderate supervision to plan, prioritize, and organize a diversified workload.
Other duties may be assigned and occasional travel is a possibility.
Essential Job Functions & Responsibilities
The job functions include, but are not limited to, the following: Administrative Support to Corwin Senior Vice President and Managing Director, Corwin, U.S.
Provide complex and confidential administrative support to Senior Vice President
Schedule and organize meetings and events for Senior Vice President, including all onsite and offsite meetings, travel, conferences, and department activities
Book travel arrangements and conference registrations for internal staff, as needed
Update and distribute various department reports on a regular basis for use in key organizational, leadership, or other meetings
Prepare the agenda and keep notes for various operational or company meetings
Create reports, forms, spreadsheets, and operating procedures
Handle all aspects of in-house hospitality for authors and visitors to Corwin, as requested
Organize and prioritize large volumes of information and calls, record and distribute interoffice documents, draft written responses to mail, or reply by phone/e-mail when necessary
Prepare general correspondence, memos, charts, tables, graphs, business plans, PowerPoint slide shows, etc.
Prepare expense reports and check requests for the Senior Vice President; audit expense reports for Senior Vice President's staff
Process invoices, investigate invoice discrepancies as necessary, etc.
Photocopy and distribute relevant materials as requested
Keep track of staff absences, sick days, and vacation days
Provide back up support to Publishing and Professional Learning managers and staff
Administrative and Project Support to Publishing and Professional Learning Department
Track, review, and reconcile discrepancies in individual, team and department monthly Key Performance Indicators (KPIs); update Corwin Reporting and Sharepoint sites; and maintain the Executive Dashboard metrics on a monthly and annual basis
Edit, maintain, and distribute the Content Front List of books, online products, and related services on a biweekly basis
Oversee various author-care activities, including awards, gifts, post-publication book orders, travel, and special correspondence
Maintain organizational calendar of all key events and activities (staff travel, industry and Corwin-hosted conferences and events, performance appraisals, all-staff meetings, strategic plans, budget calendar, etc.)
Assist with special development tasks, such as permissions clearance issues, light editing of PPTs and manuscripts, reviewer book orders, creation of presentations in various formats
Assist department staff with meeting management, including the Corwin Planning Committee agendas, proposals, and minutes
Maintain book and resource inventories and distribution, including receiving post-publication books from the warehouse to distribute to relevant department staff; managing the Corwin library inventory.
Maintain professional subscriptions and related research tools to maximize efficiency and use of such resources while minimizing department expenses
Assist in new employee set-up and trainings, including creating templates and documentation for training and participating in relevant administrative training and onboarding
Additional Responsibilities
Be a leader among the editorial assistants and project coordinators in the department. Help mentor other assistants; develop capability to help train new staff if needed.
Provide internal and external customer service and act as the liaison between the Senior Vice President and members of the Corwin and SAGE Senior Management teams.
Retain solid working knowledge of the company's organization, policies, procedures, practices and personnel.
Strong organization skills and ability to multi-task and work with minimal supervision as well as possess a high degree of professionalism and strong ability to maintain the utmost confidentiality of confidential and sensitive material.

Qualifications & Education
Qualifications and Education include, but are not limited to, the following:
AA Degree (BA/BS preferred)

years serving in progressively responsible positions as Administrative Support for a middle manager or senior executive required
Advanced knowledge of MS Office software products (Word, Excel, PowerPoint) required
Ability to learn to use commercial software and other information systems tools used in Publishing and Professional Learning
Superior written and verbal business communication skills, including strong spelling and grammar skills required
Ability to understand, articulate, and document departmental operations and procedures
